Private college consolidates Microsoft tenants to improve student/faculty collaboration capabilities, streamline IT management, and increase security.
Objective
This private college with approximately 2,000 students needed a solution for their two separate Microsoft tenants that siloed information and caused collaboration headaches.
Solution at a Glance
Arraya consolidated their separate Microsoft tenants into one, single Microsoft tenant.
Problem
The client had two Microsoft tenants: one for students and one for faculty and staff.
This caused collaboration issues between the two tenants. With students on one tenant and faculty on the other, it was difficult to share documents, chat, and coordinate meetings. Professors and staff had difficulty scheduling meetings with students, posting a presentation for their classes, and more.
In addition to a poor end-user experience, managing two separate tenants was tedious for their IT department.

Solution
As Arraya had previously assisted this client with Microsoft 365, they turned to us for a solution that would improve their end-user experience and simplify the management of their tenants.
Arraya conducted a thorough review of both tenants to determine the use cases for each. As the use case for the student tenant was very different from the faculty tenant, each had different security and control requirements.
We presented them with two options that took their environment, budget, and the timing of the project into consideration:
- Integration: This option was a B2B configuration that would keep both of their existing tenants but update them to allow for limited collaboration capabilities.
- Consolidation: This option would consolidate the two tenants into one single tenant.
The client chose to move forward with consolidating their tenants into one, single tenant.

Results
Over 4,000 mailboxes will have been migrated to their new, single tenant.
Because the student and faculty mailboxes had different use cases, individual security controls will be applied to each, all while housed within one tenant.
As this project was completed over the summer, returning students will be unaffected when they log back in for their Fall semester.
End users will be able to take advantage of modern collaboration technologies such as Teams, OneDrive, Exchange, and SharePoint. Their IT team will only have one tenant to manage which streamlines their policies, licensing, and more.
